About:
CCA is looking for a dynamic, detail oriented and enthusiastic administrative coordinator to join our team. Reporting to AVP, Marketing and Communications, the Administrative coordinator is responsible for supporting the executive team and our President and is skilled in balancing competing priorities to ensure scheduling, briefings and other sensitive matters are completed in a strategic, timely and accurate manner. The successful candidate will lead the administration of our corporate travel and meetings, assume the administrative responsibility for our governance processes and support our annual planning.
The ideal candidate is detail oriented, adaptable, independent and highly resourceful. They are highly discreet given the access they will have to confidential information and discussions. An incredibly organized and efficient person, they excel in solving problems and prioritizing tasks and can maintain high professionalism and confidentiality. A friendly person, you are able to be firm with colleagues on deadlines or deliverables to ensure quality and timely implementation.
Responsibilities:
- Provide a wide range of administrative support to the executive and teams, handling many different tasks professionally and efficiently.
- Manage and update the CCA calendar for all meetings, milestones and events.
- Manage the preparation and delivery of agendas and packages for Board, Council and Committee meetings.
- Organize and manage travel arrangements, meetings, speaking engagements, and conferences, ensuring everything runs smoothly.
- Prepare reports and gather information from various sources regularly.
- Help prepare meeting agendas, take notes during meetings, and track follow-up actions.
- Review and edit documents, presentations and reports ensuring adherence to CCA’s guidelines.
- Support the annual planning process and off-site events for staff.
- Manage confidential and sensitive information with discretion and professionalism
- Provides administrative support to other members of the communications and event team.
- Manage implementation and dissemination of any by-law changes, and work with the communications team to update the website and other manuals as required.
Qualifications:
- Bilingualism required.
- Degree or diploma in a relevant field, or an equivalent combination of experience, training and education.
- Minimum of 1 year of relevant experience.
- Proficiency with Office 365 and SharePoint.
- The ability to travel occasionally within Canada and North America.
- Proficiency in Project Management Software, such as Asana, considered an asset.
