Introduction:

CCA is looking for a dynamic, detail oriented and enthusiastic Events and Meetings Coordinator to support the planning and execution of national events, while also providing essential administrative and coordination support for governance activities.

Reporting to the Manager, Events and Meetings, this role plays a key part in delivering high-quality member experiences through conferences, symposiums, board retreats, and other strategic gatherings. The role also works closely with the President and Associate Vice President to support governance operations by preparing meeting materials, briefing books, and coordinating logistics for the Board of Directors, national councils, and committees.

The ideal candidate is highly organized, creative, adaptable, discreet, and solutions-oriented. They are comfortable working independently in a fast-paced environment and bring strong communication skills, sound judgment, and a collaborative approach to their work.

Responsibilities:

Position: Coordinator, Events and Meetings

Reports to: Manager, Meetings and Conferences

Key responsibilities:

  • Support the planning and delivery of in-person and virtual events, including venue coordination, travel arrangements, registration, catering, vendor management, and on-site execution.
  • Maintain and update CCA’s master calendar of meetings, milestones, and events.
  • Develop and manage event project plans, schedules, budgets, and checklists.
  • Prepare and coordinate event materials such as name tags, signage, programs, presentation decks, and promotional items.
  • Manage attendee communications and logistics, including pre-event messaging, RSVP tracking, registration counts, and post-event follow-up.
  • Support speaker and sponsor fulfillment, including tracking deliverables and providing logistical support.
  • Manage administrative tasks such as BEO reviews, travel bookings, restaurant reservations, and on-site issue resolution.
  • Coordinate scheduling, logistics, and communication for meetings of the Board, committees, and councils.
  • Prepare and format meeting materials, briefing notes, and governance packages in collaboration with the Executive team for Board, council and committee meetings.
  • Track meeting action items and support timely follow-ups.
  • Maintain accurate records and organize document archiving for governance bodies.
  • Support the annual planning process and off-site events for staff.

Qualifications:

  • Bilingualism preferred.
  • Post-secondary degree or diploma in Event Management, Business Administration, Communications, or a related field—or equivalent combination of education and experience.
  • Minimum of 1 year of relevant experience in event coordination or administrative support.
  • Proficient in Microsoft Office 365 (including SharePoint).
  • Experience with Zoom, Pheedloop, Certain, or similar event platforms is an asset.
  • Familiarity with project management tools (e.g. Asana) considered an asset.
  • Must be legally able to travel within Canada and internationally; a valid passport is required.

Salary range:

  • Compensation is to be determined at the time of hiring, based on the successful candidate’s experience and profile.
  • $50,000 to $60,000 annually.
